Nomination Notice for the Executive Committee
(for the session 2023 – 2024)
We are glad to invite nominations for the election of the Executive Committee of the Old Students’ Association (OSA) with a term of office from 1 October 2023 to 30 September 2024 (both dates inclusive). The Executive Committee is the executive body and representative of the Association in all its matters. It is responsible for carrying out functions to implement the objectives of the Association and resolutions passed in its General Meetings. Any member interested in forming a cabinet should pay attention to the following:
1. The nomination period will be from 19 August to 9 September 2023 (both dates inclusive).
2. All nominations shall be made within the nomination period and any nominations received by the Election Committee after 9 September 2023 will be void.
3. The members of the Executive Committee should be elected in the form of a cabinet, which should be composed of no more than 20 members. The Committee should be composed of the Chairman, the Vice Chairman, the General Secretary, the Financial Secretary, the Publication Secretary, the Information Technology Secretary; and any other position which are deemed necessary.
4. Any member of the OSA is eligible to be nominated as a candidate of a cabinet at the Election.
5. Each cabinet only needs to fill in one nomination form showing valid nominations of all candidates.
6. The nomination of a candidate shall be proposed and seconded by members of the Association.
7. If a member nominates more than one person as candidates at the Election, his first nomination received by the Election Committee shall be valid and all subsequent nominations void.
8. All nominations should be made in the nomination form, which can be downloaded at the web page (https://www.ccsc.edu.hk/connections.php?cid=195) of the OSA, and the form should be sent to osaelection@live.ccsc.edu.hk before the nomination period ends. An e-mail confirming the receipt of a nomination will be sent to the nominees concerned after the nomination is received.
9. The Election Committee shall inform the validly nominated cabinets of their cabinet numbers, which will be determined by the drawing of lots, and give notice of such information to all members at the end of the nomination period.
10. For any nominee who wants to withdraw the nomination, he / she should notice that:
a. such a request should be formally made by informing the Election Committee via e-mail (osaelection@live.ccsc.edu.hk) of the reason(s) for withdrawing from the Election. An e-mail stating the decision of the Election Committee for the application made will then be sent to the nominee concerned; and
b. any request for withdrawal made during or after the promotion period will be announced to all members of the OSA by the Election Committee in the web page of the Association for the reference of the members.
11. The withdrawal of any candidate of a cabinet will be regarded as a withdrawal of the cabinet concerned. Hence, the remaining members of the cabinet have to submit another nomination form to the Election Committee to inform it of the reshuffle. Such messages will be announced to all members of the OSA in the web page of the Association
12. The election for the Executive Committee will be held on 23 September 2023.
